Port & Drayage Operations Manage and optimize driver dispatch schedules for container pickups and deliveries from key ports (e.g., Houston, Chicago, New York), ensuring shipments are executed on time, within budget, and in compliance with regulations. Oversee the movement of containers from terminals to final destinations Track shipment milestones in real time through logistics platforms; address disruptions such as port congestion, equipment shortages, or driver capacity constraints. Act as the primary escalation point for complex drayage issues including missed appointments, chassis mismatches, or documentation holds. Serve as a senior liaison with port terminal operators, trucking partners, warehouse personnel, and internal stakeholders to ensure seamless communication across all delivery points. Manage bonded warehouse coordination, including oversight of CBP-compliant Permit to Transfer (PTT) processes and container movement under customs control. Cross-Team Coordination (Bilingual: English/Chinese) Lead operational alignment between the U.S. and China-based logistics teams by coordinating bilingual communications and real-time updates across both regions. Translate and explain U.S. port logistics standards, documentation procedures, and best practices to China-based teams in Mandarin. Conduct regular meetings with cross-border teams to ensure process adherence, handle escalations, and streamline collaboration workflows. Training & Resource Development Mentor and support junior logistics specialists, dispatchers, and coordinators in both the U.S. and overseas offices. Develop scalable training resources—including SOPs, step-by-step guides, onboarding materials, and video walkthroughs—to promote consistent knowledge transfer. Lead training sessions and workshops to ensure team readiness, operational excellence, and alignment with Smart Supply Chain Inc. standards.

Dispatch Coordination: Assign and schedule drivers for container pickups and deliveries from major ports (e.g., Houston, Chicago, New York), ensuring timely, efficient, and compliant transportation. Port Communication: Act as the primary liaison between Smart Supply Chain Inc., drayage partners, and port terminal operators to coordinate logistics activities and resolve port-side challenges. Tracking & Updates: Monitor container status, driver locations, and delivery timelines using internal systems. Provide real-time updates to internal teams and customers to ensure transparency and accountability. Issue Resolution: Proactively troubleshoot and resolve operational issues such as port congestion, driver shortages, chassis or equipment availability, and documentation discrepancies. Handle container freight holds and customs release issues. Documentation Management: Ensure all logistics documentation—delivery orders, bills of lading, and port release forms—are accurate, complete, and submitted in a timely manner. Compliance Oversight: Enforce adherence to port regulations, U.S. Customs protocols, hours-of-service (HOS) rules, and company quality standards. Bonded Warehouse & Customs Coordination: Manage the transfer of containers to bonded warehouses. Coordinate with U.S. Customs and Border Protection (CBP) for containers under Permit to Transfer (PTT), ensuring all compliance steps are followed from port pickup through warehouse delivery.

Responsibilities include: • Assist the accounting department with data entry, ensuring that all transactions are accurately recorded. • Review statements from vendors and helps prepare payment. • Participate in monthly, quarterly, and yearly accounting cycles and perform profit margin analysis. • Create & maintain data filing systems, both electronic and physical. • Review and handle invoices, spreadsheets files, and inter-company reports and communications to other departments in the company, clients, vendors, and management. • Proficiency in Microsoft Office. • Ability to work independently as well as in a team setting. • Other administrative work as needed.
